Transaction Workflow

Standard flow

When buyer placed an order from SellingsVibe, the funds will be hold until the order is fulfilled by the seller.

Fulfilling an order from a seller:

1. Seller submits the [Fulfillment Form] to SellingsVibe.

2. *Confirmation of the delivery from buyer.

3. Order status changed to “completed”.

4. Releasing funds to seller.

* Or sellingsVibe confirms the delivery based on the proof of delivery document.

Releasing a fund in SellingsVibe

When SellingsVibe confirms the delivery from the buyer, SellingsVibe will send the funds into seller’s account within 3 business days maximum. As a seller, you could view it in your seller dashboard.

Different scenarios:

1. Sellers did not summit the Shipping Document AND Proof Of Delivery,

Reviewing the transaction by SellingsVibe

When SellingsVibe received the payment from buyer, our team will review the transaction based on SellingsVibe terms of use and any policy applicable in our site.

Rejecting a transaction

If SellingsVibe thinks that the transaction violates our site policies, we must reject the transaction without notice. In your seller dashboard, the order status will change to “Refunded” or “Cancelled”.

Depends on the situation, we will limit and terminate both buyer and seller’s SellingsVibe account. All the cost and lost will be the buyer and sellers responsibilities.

Usage of rejection funds

If SellingsVibe rejects a transaction, the funds held by SellingsVibe may not be non-returnable, in rare case.

Depending on the amount and nature of money held, the non-returnable funds will be confiscated to related department of Hong Kong government.

Or, the funds will be used internally to make improvement of our SellingsVibe platform and services.

Confirmation from the buyer

Whenever a buyer ordered an item, there will be “Order Received” button on the buyer order dashboard. If the buyer clicks the button, a popup window will show up asking for confirmation from the buyer. In the meanwhile, the buyer will be acknowledged:

1. I received the order.

2. I approved this transaction.

3. I know this action is irreversible.

The order status will change to “completed” after the buyer confirmation.

Shipping document

Proof of shipment is an online or physical documentation from a shipping company that includes the following:

  • The date the item was shipped.
  • The recipient’s address, showing at least the city and state, or city and country, or zip/postal code (or international equivalent). The address information on your shipping receipt must match the address on the invoice.

Supported document

Proof of delivery:

Proof of delivery is an online documentation from a shipping company that includes:

  • The item’s status as delivered.
  • The date the item was delivered.
  • The recipient’s address, showing at least the city and state, or city and country, or zip/postal code (or international equivalent). The address information on your shipping receipt must match the address on the invoice.

Or, any other proof of delivery that is valid.

For intangible goods such as PDF file, music download, software and license key etc, the proof of delivery should include:

  • Electronically sent to the recipient, including the recipient’s address (email, IP, etc.), where applicable; or

  • Received or accessed by the recipient

Fail to submit the required document

The funds will be released to the seller after 10 days if there is no dispute, chargeback or any other question raised by the buyer. If the buyer confirmed the delivery, SellingsVibe will release the funds to the seller within 2 business days.

Dispute

SellingsVibe based on the fact to take any necessary action. If SellingsVibe finds out that the provided document from seller/buyer is false information, we may limit the functionality or terminate the seller/buyer’s SellingsVibe account. All the cost and lost will be seller/buyer’s responsibilities.

Seller-buyer dispute

Whenever a case cannot be determined the authenticity, SellingsVibe will handle the case in our dispute center:

For both buyer and seller, you need to submit as much as evidence you have for SellingsVibe, the evidence includes:

For buyer:

  • Video unboxing your package, showing the shipping label as well as:

Your billing address, the address information on your shipping receipt must match the address on the buyer invoice.

  • Photo(es) of your trading conversation from SellingsVibe platform showing that the date you purchased the item from seller or any details you think is helpful.

  • Photo(es) of the item you received.

  • Other evidence you think is helpful.

For seller:

  • Proof of delivery that matches your shipping document.

  • Photo(es) of your trading conversation from SellingsVibe platform showing that the date you purchased the item from seller or any details you think is helpful.

  • Photo(es) of the item before packaging to sending.

  • Other evidence you think is helpful.

[Face-To-Face]

For buyer:

  • Video unboxing your package.

  • Photo(es) of your trading conversation from SellingsVibe platform showing that the date you purchased the item from seller or any details you think is helpful.

  • Other evidence you think is helpful.

For seller:

  • Photo(es) of your trading conversation from SellingsVibe platform showing that the date you purchased the item from seller or any details you think is helpful.

  • Photo(es) of the item before packaging to sending.

  • Other evidence you think is helpful.

Fail to submit the evidence

The buyer/seller will win the dispute automatically if buyer/seller failed to submit the evidence mentioned above.

When a dispute case is opened and recorded by SellingsVibe, buyer and seller will have 5 days to submit the required document.

You do not have to submit all the mentioned document. However, SellingsVibe will base on the submitted document to make the judgement.

Seller/buyer wins the dispute will have the on-hold fund.

SellingsVibe will make the final judgement of the on-hold fund. Document submitted to SellingsVibe are confidential that only SellingsVibe has the right to view it.

Loss a dispute

Depending on the situation, the buyer/seller who lost the dispute will be terminated the right of using SellingsVibe due to the violation of SellingsVibe’s term of use, effective immediately when the dispute case was marked as closed. All the cost and lost will be the buyer/seller responsibilities.
